ReferralLinks Privacy Notice

ReferralLinks is operated by Referral Ventures Limited, company number 13281997. This Privacy Notice explains how Referral Ventures Limited (“Referral Ventures”, “we”, “us”) uses Personal Data in connection with ReferralLinks.
1. Controller and Processor Roles
Referral Ventures does not have the same data protection role for every activity undertaken through ReferralLinks.
Referral Ventures generally acts as an independent Controller in relation to people who create or administer ReferralLinks business accounts; prospective Customers; billing and subscription contacts; communications sent directly to Referral Ventures; Customer support administration; administration of our commercial relationship; security of ReferralLinks and our infrastructure; prevention of abuse affecting Referral Ventures; compliance with legal obligations; legal claims; and ReferralCodes accounts and activity where Referral Ventures independently operates ReferralCodes.
Where we process Personal Data about a business’s referrers, customers, prospective customers, purchasers, referral recipients or website visitors solely in order to provide that business with ReferralLinks, the business will generally be the Controller and Referral Ventures will act as its Processor. If you participate in a referral programme operated by a ReferralLinks Customer and have questions about the use of your Personal Data, you should normally contact that business.
2. Information We Process as Controller
Depending on your relationship with us, we may collect name, business name, job title, email address, telephone number, account identifier, login and authentication information, subscription details, billing details, payment and invoice records, correspondence, Customer support requests, IP address, browser information, device information, application logs, security logs, ReferralLinks usage information and marketing preferences.
Payment card information may be collected directly by a payment provider rather than stored by Referral Ventures.
3. Why We Use this Information
We use Personal Data to provide and administer ReferralLinks business accounts, authenticate users, manage security, bill Customers, provide support, improve ReferralLinks, prevent misuse and fraud, comply with legal obligations and manage legal claims, and where permitted, market ReferralLinks or related Referral Ventures services to business contacts.
Lawful bases may include performance of a contract, compliance with legal obligations, legitimate interests, and consent where consent is required.
4. Customer Referral Programme Data
Where we act as Processor for a ReferralLinks Customer, Personal Data may include referrer name, referrer email address, referral identifier, rl_vid, referral URL, campaign identifier, IP address, browser/request information, timestamps, conversion information, order identifier, transaction value, reward amount or status, programme communications and relevant technical information.
The relevant business determines the purpose and lawful basis for this Processing.
5. Referral Attribution
ReferralLinks may help businesses attribute a later purchase or other event to a referral. Standard ReferralLinks attribution uses a unique referral URL, a referral identifier, a first-party cookie currently named rl_vid, and a server-side conversion API.
ReferralLinks normally applies last-click attribution. The standard attribution period is 30 days, although participating businesses may configure campaign windows between 1 and 365 days. The standard rl_vid browser-cookie duration is currently 30 days.
ReferralLinks does not use email-address matching as part of its standard referred-visitor attribution mechanism and does not use local browser storage as part of its standard attribution mechanism.
6. Referrer Emails
ReferralLinks may send emails to referrers participating in Customer referral programmes, including account messages, verification messages, referral links, conversion notifications, reward notifications, programme updates and security messages.
Where these are sent solely under instructions from the business operating the programme, Referral Ventures acts as Processor for that communication.
ReferralLinks does not ordinarily email a referred friend simply because the person followed a referral link.
7. ReferralCodes
ReferralLinks and ReferralCodes are both operated by Referral Ventures Limited. Some ReferralLinks programmes may be promoted through ReferralCodes.
Where Referral Ventures processes ReferralCodes member information for purposes determined by Referral Ventures in operating ReferralCodes, Referral Ventures acts as Controller. Personal Data given to us solely by a ReferralLinks business Customer for its referral programme will not automatically become ReferralCodes member information.
8. Service Providers
We use third parties to help operate ReferralLinks, including Amazon Web Services for hosting and infrastructure, Cloudflare for network delivery and security, and Mailgun for transactional and programme-related email delivery.
Our principal ReferralLinks application and database infrastructure is hosted using AWS Ireland. Other professional, technical or infrastructure service providers may also process Personal Data where reasonably required.
9. International Transfers
Personal Data may be processed in the United Kingdom, European Economic Area and other locations used by our service providers.
Where Personal Data is transferred internationally, we use a legally recognised transfer mechanism where one is required, which may include an adequacy decision, EU Standard Contractual Clauses, the UK International Data Transfer Agreement, the UK Addendum to EU Standard Contractual Clauses, an applicable recognised privacy framework or another legally permitted safeguard. 10. Retention
We keep Personal Data only for as long as reasonably required. Retention periods depend on the purpose of the information and may include the period while a Customer account remains active, a reasonable period following account closure, periods required for accounting or taxation, periods necessary for disputes or legal claims, security investigation periods and backup retention periods.
Personal Data processed solely on behalf of ReferralLinks Customers is handled according to the relevant Customer agreement and our deletion processes.
11. Security
We maintain appropriate technical and organisational measures designed to protect Personal Data, including where appropriate authenticated access, restricted production access, encryption in transit, infrastructure protection, logging, backups, security monitoring, software updates, confidentiality obligations and incident-response procedures.
No internet service can guarantee absolute security.
12. Cookies and Similar Technologies
ReferralLinks.com may use cookies and similar technologies for operating the site, authentication, security, user preferences, analytics where permitted, and other functions described in our Cookie and Attribution Technology Notice.
ReferralLinks also provides the rl_vid referral-attribution technology used on participating businesses’ websites. The business operating the relevant website is generally responsible for determining whether consent is required for that implementation.
13. Your Rights
Depending upon applicable law and the circumstances, you may have rights including access, correction, deletion, restriction, objection, portability, withdrawal of consent where Processing relies upon consent, and rights concerning certain automated decision-making.
Where Referral Ventures holds the Personal Data solely as Processor for a Customer, the relevant Customer will ordinarily be responsible for responding to your request.
14. Complaints
If you have concerns about how Referral Ventures uses Personal Data, please contact us. Individuals in the United Kingdom also have the right to complain to the Information Commissioner’s Office. Individuals elsewhere may have the right to complain to their applicable data protection authority.
15. United States Privacy
Depending on your location, United States privacy law may provide additional rights concerning Personal Data. Where Referral Ventures processes Personal Data solely for a Customer as a service provider, contractor or processor, that Customer is generally responsible for responding to applicable consumer requests.
Referral Ventures does not sell Customer Personal Data supplied solely for operation of a Customer’s ReferralLinks programme and does not use such Customer Personal Data for cross-context behavioural advertising on its own behalf.
16. Children
ReferralLinks is a business referral-platform service and is not intended to be used to knowingly collect Personal Data directly from children where doing so would require parental consent or other special protections. Customers must ensure their referral programmes are appropriate for their intended audience.
17. Changes to this Notice
We may update this Privacy Notice from time to time. The latest version will be published on ReferralLinks.com with its effective date.
